Job Responsibilities:

  • To assist the Audit Manager for the Transport Unit, ensuring all local assets, including RFE’s assets, are accurately recorded for Audit purposes, as requested.
  • To advise Transport Unit managers of fleet issues as they become apparent.
  • Daily management of Outlook system including transport mailboxes, allocating queries to relevant staffs and answering the telephone.
  • To actively engage in personal development and job experience opportunities and to obtain an understanding of the operation of all fleet functions.
  • Maintain and check manual and digital filing systems and logs of information, in order to respond within agreed timescales and producing reports as required.
  • To assist with the operation of the NOMS and MoJ Fleet ‘whole life’ data system, ensuring accurate analysis and dissemination of information. Provide senior management and OGD’s with statistical reports for NOMS and MoJ, as required.
  • To actively engage in personal development and job experience opportunities and to obtain an understanding of the operation of all fleet functions.
  • To provide advice on aspects of transport policy, vehicle documentation and distribute communications to the appropriate person or relevant department.
  • Responsible for providing full administrative support to the Transport team and provide support to operational staff and site colleagues on all transport matters.
  • Organise, produce and maintain accurate records for areas of work in order to collate information relating to relevant targets / objectives / reports
  • To actively promote the use of IT as a method of reducing the loading peaks associated with the officer’s team.
  • To manage computer records and paper files relating to the post holder on a monthly basis to ensure unwanted, illegal or out of date files are removed.as directed by Transport Unit managers
  • To assist Transport Unit managers as required within available resource time.

Job Requirements:

  • Good ICT and communication skills are essential, including the competent use of Microsoft Office applications (Excel and Word)
  • The job holder must be able to fulfil all spoken aspects of the role with confidence in English or (when specified in Wales) Welsh.
