Job Description:

As Project Support Officer, you will be required to collaborate across the Leadership, Talent and Capability (LTC) teams and wider, supporting the administration and governance of key projects, building positive relationships with colleagues and relevant partners to successfully deliver strategic priorities. You will support the administration of projects that are designed to ensure the Ministry of Justice (MoJ) is a department where leaders inspire; talent is nurtured; diversity is celebrated; and everyone is enabled to be their best. You will also support the Programme Management Office (PMO) Lead to coordinate all aspects of programme governance, including collating information/ data and embedding project/ programme management tools that enable appropriate governance of the LTC portfolio.

Job Responsibilities:

  • Monitoring and reporting – Assist development and management of project controls and reports. Support compilation of portfolio-wide reports to enable progress tracking and delivery confidence reports.
  • LTC Board – Secretariat of LTC Board, including scheduling meetings, drafting and circulating agendas, supporting compilation of highlight reports, logging actions and collating feedback as necessary
  • Planning and Scheduling – Working with consultants within a matrix project team to ensure effective planning and scheduling is in place. This includes assisting with the development and maintenance of project plans and other documentation; secretariat of project meetings, ensuring organisational tasks are carried out; capturing, maintaining and monitoring action and decision logs; and managing project documentation using robust version control
  • Risk and Issues – Support portfolio-wide risk management and project assurance to track delivery confidence
  • Financial control – Assist with processes relating to project spend and contribute to the compilation and monitoring of budgets. Maintain an accurate budget register for the project.
  • Continuous improvement – Streamline processes wherever possible to maximise efficiency and promote collaboration
  • Resources – Support resource planning and highlighting risk
  • Risks and Issues – Assist with project risk management and maintain risk and issue logs, escalating as appropriate.
  • Stakeholder – Assist with stakeholder engagement plans, maintaining stakeholder logs, acting as a single point of contact where necessary
  • Project management methodology – Support development and use of project management tools and techniques to build capability across LTC
  • Project information – Creating and maintaining project databases to enable effective monitoring, evaluation and reporting, working closely with specialists in learner experience, reporting and evaluation
  • Administration – Providing comprehensive administrative and coordination support to project teams across LTC. Including booking venues, scheduling training delivery/ assessment slots and any other coordination or administrative task as required.

  • Ability to effectively prioritise own workload and support several projects simultaneously.

Qualification & Experience:

  • Experience of working in matrix teams
  • Experience working as part of virtual teams and projects
  • Experience of working on leadership, talent, or capability projects
  • Formal qualifications are not essential. However, a willingness to work towards a suitable qualification such as a Level 3 or Level 5 Apprenticeship is encouraged.
  • Experience of working in a flexible, agile environment and adapting to meet changing operating requirements, prioritising effectively.
  • Experience of utilising project management methodology to deliver positive outcomes.
