Job Description:
The primary purpose of this position is to provide administrative services to the unit.
Job Responsibilities:
- Purchase or contract supplies, equipment, and services through open market purchase by blanket arrangement, cash, or field purchase order using a VISA credit card.
- Initiate and control a variety of personnel processing activities, e.g., initiating electronic requests for personnel actions, annual performance ratings, local recruitment, and new employee orientation.
- Prepare and monitor human resources-related reports for the office.
- Perform supervisory duties 20% or less of the time.
- Collect and analyze costs, staff power, procurement, and other data necessary for preparation of the annual operating budget.
- Receive, review, analyze, and control incoming correspondence, including mail, cables, faxes, and routine and controlled documents.
- Review project expenditures by ensuring allocations are not exceeded and surpluses are identified, appropriate staffs are alerted, and if necessary, recommends reprogramming in other areas.
- Verify purchase order receipts and follows up on invoices and other payment documents.
- Read and keep apprised of agency procedures and policies in order to be aware of changes and new requirements affecting the work of the organization.
Job Requirements:
- Successful completion of one year probationary period, unless previously served.
- Must be a U.S. Citizen or National.
- Subject to satisfactory adjudication of background investigation and/or fingerprint check.
- Successfully pass the E-Verify employment verification check.
- Per Public Law 104-134 all Federal employees are required to have federal payments made by direct deposit to their financial institution.
- Males born after 12/31/1959 must be Selective Service registered or exempt.
Qualification & Experience:
For the GS-6: You must have one year specialized experience equivalent to the GS-5 in the Federal service. This experience must have demonstrated knowledge of the methods and procedures for providing or performing a variety of functions and services applicable to the position to be filled; ability to plan, organize, and control work involving diverse activities; ability to gain cooperation and coordinate the work of others; and skill in oral and written communications. Specialized experience is defined as one or more of the following: Sold items or permits, collected and accounted for moneys received, and reconciled sales; Assembled monthly expenditures for operating budget reporting; Reviewed correspondence for grammatical accuracy, attachments and punctuation; Purchased, received, and distributed supplies and special order items; Created travel orders and vouchers. OR one full year (18 semester/27 quarter hours) of successfully completed graduate level coursework that is directly related to the work of the position (such as Business or Public Administration, or other administrative or management fields related to the position being filled); OR combinations of graduate level education that is directly related to the position and specialized experience as described above. The education must have been obtained in an accredited college or university.
